Whether you're an experienced organiser or exploring the idea for the first time, our committee is here to help guide you through the process every step of the way. This process applies to all CCDA sanctioned events across Australia — all event types and vehicle levels. The information here is a guide and not exhaustive. Always use it alongside open communication with the CCDA management committee, who are happy to assist at any stage.

The Event Organisation Process

1 You Submit your Application for Approval in Principal
Download and complete the APP1 form, then email it to info@ccda4wd.com.au or bring it along in person to a CCDA general meeting. This is your first step and a great opportunity to start the conversation with the committee.
2 CCDA Application reviewed by the committee
The CCDA committee will consider your application and provide a decision, approval or feedback within one calendar month of receiving it. If anything further is needed, we'll let you know.
3 You Prepare your Event Management Plan
Once approved, complete a full Event Management Plan including:
  • Completed event management template
  • Risk assessments
  • Catering, first aid and official information
  • Permit application information (planning permit, occupancy permit, Office of Sport & Rec, Motorsport NSW permit as applicable)
4 You Complete your Supplementary Regulations
Prepare the Supplementary Regulations for your event.
5 You Submit everything for final approval
Send your completed EMP, Supplementary Regulations and copies of all permits (or permit applications) to the CCDA management committee for final review.
6 CCDA Written sanction approval issued
Once the committee is satisfied with the EMP, permits and Supplementary Regulations, the CCDA will issue written approval for your event. If any additional information is needed, we'll advise you of exactly what's required.
7 CCDA Certificate of Currency for insurance provided
Your Certificate of Currency for event insurance will be issued. Note: a temporary certificate may be provided earlier if needed to support permit applications.

Important Notes

  • A temporary Certificate of Currency may be issued prior to final approval where required to support a permit application.
  • Approval may be revoked at any time by a CCDA official in the event of a serious safety breach or significant deviation from the approved EMP.
  • The CCDA retains the right to approve or deny any event sanction application for any reason at any time.
